Our client is currently recruiting for an Administrator to assist in their Estates department. The ideal candidate would also be able to support the Resources Officer and fulfil PA duties by providing high-quality administration, deputising in their absence.

The post holder will have several daily responsibilities within a very busy team ensuring the most effective and efficient delivery of support services to the Department. One is expected to have exceptional attention to detail, highly effective communication skills via all formats, a thorough understanding of electronic communications and a good record of excellent customer service to achieve the high standards required for their colleagues.

The Team supports a large department whose line-managers will rely upon you to assist them with their daily processes. Purchase order processing, helping to arrange remedial works to buildings, coordinating deliveries and editing databases are a few of the responsibilities held by the successful candidate.

Key Responsibilities

1.Supporting the Estates Resources Officer in providing a full administrative and operational support to the Head of Estates & Operations and Deputy Head of Estates & Operations.

2.Act as first port of call (Reception) for visitors / telephone enquiries to the department answering the phone within the 3-ring-scenario; filtering and offering assistance as required

3.Assist with our full purchase order processing system (from quotations / orders / delivery notes / invoices) on a daily basis - ensuring high attention to detail / robust audit trail is kept electronically

4.Monitor the generic inbox throughout the day, clearing down and acting upon accordingly

5.Diary management, when required, in Microsoft Outlook working across the team ensuring shared calendars are up to date

6.Note taking in meetings, preparing documentation in advance of meetings, booking rooms and ordering refreshments.

7.Ensure accurate records are kept and complete all required scanning and filing

8.Scanning / filing and other general office duties

9.Ensure the department's maintenance software is kept up to date on a daily basis with budget expenditure (allocation of works to team members when required)
