Service and Sales Administrator

Monday to Friday, 9am to 5pm (37.5 hours)

Russell Taylor are recruiting for a Service and Sales Administrator to work for their Client, an Engineering firm based in Stone.

Primary duties
* Schedule weekly, fortnightly and monthly activity for Service Engineers. Including liaison with key clients ensuring effective geographical planning of service visits in order to enhance schedule utilisation and productivity.
* Liaise with clients and engineers to ensure access to site is available and all necessary paperwork has been provided.
* Ensure all required parts for the service/repair visits are available prior to booking in the works.
* Act as part of the administrative team supporting the Technical Support, Service and Sales Department. This will involve basic administrative tasks such as photocopying, typing, production of documentation, booking meeting rooms etc.
* Take messages / handle all incoming telephone calls in relation to company business but most specifically in relation to the Service and Sales department.
* Act as the project point of contact for travel / accommodation requests for the Service and Sales department.
* Prepare documentation for quotations and service contracts ensuring that all invoicing is submitted as per the Purchase Order within a timely manner of works being completed.
* Raise Sales Orders/Purchase Request/MRP Demands within SAP/MariProject in accordance with correct purchasing and sales procedures as directed by the Service Manager.
* Comply with the organisation's QA and SHE systems and support required updates as the business develops.

Secondary duties
* Undertake any duties within skill set as required, including providing Reception lunch or holiday cover where directed.
* May be required to attend training courses relevant to the role.


Essential skills
* Minimum of 5 x A* - C GCSEs including Maths and English.
* Must be computer literate and fully conversant with Microsoft Office.
* Good verbal and written communication skills.
* Ability to prioritise workload and set deadlines.
* Positive attitude and ability to multi-task without instruction.
* Organisational skills and high level of attention to detail.

Desirable skills
* Full clean driving licence preferred.
* NVQ L2 or L3 in Business Administration or have an active interest in enrolling in NVQ course.
* Previous experience of working within a Customer Service role.
