Becoming a Finance and Admin Manager with Capita IBS Schools

This is a full time, permanent post, responsible for rigorous process, management and monitoring of all revenue and expenditure within the IBS Schools business. The post is managerial, and the incumbent is a member of the IBS Schools Management Team.

The role incudes line management of the finance and admin team to ensure that the highest standards of probity and customer service are embedded into all elements of service offerings.

The role includes deputising for the management of the Malvern Court offices, with responsibility for day to day operations including health and safety for staff within the building.

The role requires collaborative working with colleagues across the business and excellent communicative skills to meet the different requirements of the post.

What you will do:
  • To manage and maintain the IBS Schools accounts using SAP
  • Oversee and manage all internal financial procedures and processes, ensuring quality checks are in place
  • To compile financial information and reports as required for the Head of IBS Schools including detailed reports to inform the monthly budget monitoring procedure
  • Oversee and manage all administration processes for the renewal of all customer support contracts, ensuring prompt settlement of invoices by customers
  • Oversee and manage the collection of all agreed charges from the IBS Schools portfolio of products, ensuring prompt settlement of invoices by customers
  • Develop, manage and maintain the business of and the financial processes for the procurement service to schools
  • Oversee and manage the training schedules and room bookings for the Malvern Court training room
  • Ensure all financial activities comply with Capita financial and audit policies
  • To actively market IBS Schools services and products through excellent customer service and professional communication
  • To oversee the induction processes for all IBS Schools staff
  • To deputise for all premises responsibilities including health and safety, coordination of fire procedures, liaising with other tenants and monitoring the work of contractors, cleaners and caretaking staff
  • Ensure the H&S portal for the building remains up to date with statutory reports
  • To assist in the coordination and production of health and safety systems and procedures for the team
  • To provide line management and support for IBS Schools finance and administrative staff, recruiting when required and managing their annual appraisals, training and development

Your experience and skills will include:
  • Good IT skills - Excel spreadsheets, Word and Outlook
  • Able to prioritise own and team's workloads to ensure deadlines are met
  • Exceptional commitment to team working
  • Able to develop individuals through annual appraisal and performance management
  • Proven communication skills with staff, customers and suppliers of all levels
  • Commitment to working in a customer focussed environment with an empathy for school related issues
  • Flexible and adaptable
  • Good time keeping
  • Conscientious, self-motivated and can-do attitude

  • Experience in a similar finance background
  • Experience of auditing in a similar finance environment
  • In depth knowledge of the SAP finance system
  • Experience of the management and maintenance of financial systems
  • Experience of working in a business-related environment, preferably with SLAs and contracts
