I'm currently recruiting for a receptionist/administrator/HR paying GBP8.32ph part time the hours are Wednesday - Thursday 8.30 -5 and Friday 8.30 - 4 for 2 months based in Newtown.

Duties & responsibilities for administrator/ receptionist will include:

General HR Administration
  • This will include contracts of employment, new starter packs, sending application forms
  • Ensure that there are enough forms for staff to use
  • Prepare and regularly audit personnel files
  • Ensure data entry is completed to an accurate and high standard
  • Provide HR inductions for all new starters ensuring all required paperwork is completed along with the necessary right to work checks
  • Perform exit interviews and escalate any areas of concern raised to the HRBP / relevant manager
  • Process leavers, advising the necessary parties (i.e.IT, reception, pension providers)
  • Monitor and record PDR completion
  • Pension processing
  • Provide administration support for the IET accreditation scheme within E&D
  • Provide administration support for the E3 sponsorship programme
  • Record and monitor relocation expense claims
  • Ensure all necessary paperwork is kept on file and movements tracked in line with Home Office requirements, for employees requiring visas.
  • Provide reception cover when Receptionist is on holiday

Ensure the relevant HR database is up to date, accurate and complies with legislation
  • To update the personnel database with up to date and accurate information that is in line with annual audits.

Assist in the recruitment process
  • Send acknowledgement letters to candidates
  • Arrange interviews via telephone or email (with candidate and interviewing panel)
  • Send confirmation of interview letters
  • Apply for, monitor and log CRB checks where required in line with company policy
  • With the guidance of the HR Officers, liaise with external provider to ensure the timely application and processing of visa requests where required. Prepare claw back agreements for employees in respect of company funded visa applications.
  • Monitor visa expiry date
Reception Duties
  • Answering and transferring calls from a busy switchboard and dealing with enquiries
  • Picking up calls for other sites in emergency situations
  • Tanoy system
  • Welcoming visitors, issuing passes and H&S documentation to Contractors
  • Making sure that ESD coats, straps and toe protectors are provided if required
  • Organising factory tours
  • Issuing identification cards. Taking photo's and transferring information to the database
  • Keeping all relevant information on file

General Reception Administration
  • Photocopying, filling, emailing, creating and maintaining spreadsheets and sending faxes
  • Making bookings for meeting rooms
  • Raising purchase orders on the MK system
  • Booking out and issuing pool cars whilst updating the spreadsheet
  • Checking driving licenses of pool car users and updating the database every 2 years
  • Maintaining the company house
  • Ordering uniform and safety footwear from suppliers. Receiving orders and checking delivery notes
  • Making sure the stock levels for uniform are maintained and monitored
