FAMILY AND VOLUNTEER LIAISON MANAGER

JOB TITLE:    FAMILY AND VOLUNTEER LIAISON MANAGER

SALARY:          £27,000 p.a.  40hrs per week

REPORTS TO:  Centre Manager

LOCATION:       The Cavalier Centre – Perry RDA Ltd

ROLES & RESPONSIBILITIES

The Family and Volunteer Manager will be responsible for :

  • All aspects of volunteer management including recruitment co-ordination, induction training and day to day management and scheduling
  • Along with the Centre Manager to liaise with the Yard Manager to ensure the volunteers are trained in yard management and the standards expected, actively participating in the support of the equine staff and manager in organising and maintaining processes for the efficient provision of services to our clients and good standards of yard management
  • Developing and fostering both services and their delivery by encouraging a culture of support at the Centre which reflects the aims of RDA and provides a positive and supportive environment for participants, volunteers and staff
  • Working with trustees and centre manager to identify and develop support initiatives for users, carers and family members, developing links and cooperative ventures with other local and national organisations. Working with the centre manager to promote and develop the full utilisation of the facilities and resources at the centre     

KEY ACCOUNTABILITIES

Parent and Carer Relationship with the Centre Development

  • Provide Short – and longer - term respite for parents and carers which will be measured in terms of number of individuals accepting respite, amount of respite in hours and analysis of feedback collected on value of facility
  • To develop social, community and equine activities with new target groups such as Dementia Support Groups, Army veterans, Socially isolated, community and equine activities

Volunteer Recruitment, Induction and Training

  • Provide inductions for new volunteers to the Centre
  • Provide support to the Administration of the Centre to ensure that all the necessary paperwork is in place for every volunteer
  • Establish individual volunteer training needs and ensure these are met
  • Assist with volunteer "on the job" training, working with other members of staff
  • Support the Equestrian Manager to arrange and co-ordinate volunteer training sessions
  • Ensure volunteer Green Cards are kept up to date
  • Facilitate the integration and support of a number of volunteers with special needs for whom mentors will need to be selected and trained.

Volunteer Co-ordination

  • Ensure that volunteers are utilised to the best of their ability and preferences
  • Co-ordinate volunteers in line with the needs of the Centre
  • Prioritise volunteer duties in line with the daily requirements
  • Mentor, support and motivate all volunteers
  • Raise staff awareness of the role and function of volunteers
  • Provide supervision with support from other staff members to all volunteers

Volunteer Communication

  • Communicate with all volunteers on a regular basis
  • Establish and maintain a process to enable the Centre to know which volunteers will be attending each day, and at specific events
  • Obtain feedback from volunteers, and follow up on any volunteers that have not been to the Centre for over a month without reason

Shows, Competitions and Special Events

  • Ensure all volunteers are aware of these events, and ensure there will be sufficient volunteers available to support the event.

Other Duties

  • Plan and implement informal and formal family and volunteer recognition activities
  • Plan and attend social activities for volunteers, families and carers
  • Assist with any conflict resolution among clients, staff and volunteers according to established procedures
  • When not working with or for volunteers, families and carers,  the role may be to support other activities at the centre

Health and Safety

  • Ensure that the Centre’s Health and Safety Policy is observed at all times, with particular reference to:
  • the safety of all staff, volunteers and visitors to the Centre
  • the safe keeping of horses and equipment
  • To report any actual or potential Health & Safety issues to the Equestrian Manager or Centre manager as appropriate

General

  • Work towards the aims of the charity, in line with its values and vision
  • Promote a friendly and cooperative atmosphere throughout the Centre
  • Work as a team, ensuring good communication throughout the Centre
  • Attend all staff meetings
  • Ensure accountability against performance targets for various grant providers and the trustees

Attendance and Holiday

  • This role will be expected, within reason to work flexibly
  • Holidays are to be taken to minimise conflict with other key members of staff
  • Holidays are to be taken to minimise any conflict with the key competitions or special events
  • Deputise for other staff (as required) in their absence, following their instructions
  • At times of staff shortages to provide flexible cover to ensure the impact on Centre operations is minimised

PERSON SPECIFICATION

Competency Requirements

  • Excellent communication skills, both oral and written ability to communicate clearly to a diverse range of people
  • Ability to transfer information about social issues to parents and carers and to support and develop a community network amongst this group
  • Ability to work with volunteers and be able to influence them
  • An enthusiastic approach, and motivational attitude
  • Good relationship management skills; able to work effectively with a wide range of stakeholders
  • Positive and proactive; showing personal energy and drive
  • Organisational and time management skills; able to handle challenges from multiple directions
  • Flexibility; willing to adapt to handle varied circumstances and issues
  • Computer literate

 

Technical/ Professional Expertise Required

  • Essential
  • Experience of working with groups of people with special needs
  • Experience of working with volunteers
  • Experience of training volunteers
  • Experience with advising on services and support to disabled and/or disadvantaged people
  • Desirable

Some experience of the ways in which horses can benefit peoples’ lives
