A leading Automotive OEM is currently seeking an experienced Global Fleet Administrator, on a contract basis to join a thriving and progressing team based in Whitley.

Position Description:

  • Within the group we have an obligation, and a need to provide our customers with excitement and a memorable experience
  • The company Experience fleet team supports the Global Marketing Experience team and its individual functions with the very latest product to showcase to pending customers, partners and enthusiasts
  • The fleet department is overall key to the general logistics throughout the business for global activities in the UK and overseas markets
  • This role supports the Global Sponsorship and Brand Partnership team
  • The successful applicant will have to adhere and sign to Policy Letter 3, Standards of Corporate Conduct
  • To have the right vehicle, at the right place, at the right time
  • The role in question is to undertake the overall management and co-ordination of the Global Sponsorship & Brand Partnership fleet working with the Sponsorship and Brand Partnership managers and the department General Manager to ensure the successful delivery of the position
  • Manage the logistics and planning of the Global Sponsorship & Brand Partnership standard fleets consisting of 150+ OUV vehicles plus c 50 vehicles required to deliver major film product placement in line with company audit and accountability

Skills Required:

  • A process person, business orientated with marketing overtones
  • Proficient PC Skills in Word, Excel, Google mail and Documents
  • Excellent communication skills with the ability to work and communicate with a variety of levels of management
  • Event or logistical background
  • Excellent communication, organisation skills with great attention to detail is required
  • Organisational abilities - to support a large number of complex activities simultaneously

Skills Preferred:

  • Responsible for the yearly fleet audit for all major events, activities and also for every vehicle on fleet

Experience Required:

  • General fleet administration including vehicle bookings, utilisation & reporting
  • Management of vehicle ATO ordering process using the Fleet Management System, VISTA, Pipeline & other systems in line with company guidelines & timing
  • Interface with Central Fleet Control, Manufacturing & SVO on vehicle progress & holds within build to enable a seamless vehicle hand over to the customer
  • Program vehicles for PDI, registration, taxation, accessory fitment & livery
  • Ensure all cars have relevant insurance cover & approvals in place (Vehicle Loan Authorities)
  • Adhere to our clients policies on OUV vehicle replenishments
  • Conduct volume & capacity analysis for new vehicle feature content
  • Management & coordination of UK & overseas vehicle transportation moves with 3rd party suppliers e.g. BCA/Special Moves
  • Management & liaison with vehicle operations teams
  • Minimum of 3 years’ experience managing fleets / Events or logistics
  • Ideally experience within a marketing / experiential background

Experience Preferred:

  • Management of the fleet budget, regular reporting against budget allocation & forecasting
  • Work with members of the Global Sponsorship department in building an annual budget to work too
  • Working with other departments & cross-functional areas (Events, Finance & Company vehicles)
  • Develop & follow through on Fleet projects, making necessary adjustments as required by the business trends
  • Supportive event fleet management with key Global Sponsorship & Brand Partnership events e.g. Rugby World Cup, Formula E, Films etc
  • Global Marketing team liaison for Chauffeur activity bookings. (UK led process)
  • Support any other departmental role as requested via departmental Manager
  • Manage all vehicle decals included scheduling, approvals and ensure they are within budget
  • Formula E, Fleet manager for all Formula E fleet request, this includes driver vehicles, Williams fleet vehicles and the use of internal team vehicle requests
  • Oversee any modifications that are carried out on fleet vehicles for the purpose of a specific project/event
  • Working with internal teams regarding GDPR and the management of confidential information which includes VVIP contact details
  • Proactively setting up new processes to manage the fleet within Experiential Marketing so we are audit compliant and working to reduce costs and assets for the business, Examples; Second use of Management cars for product placement vehicle loans, increases vehicle utilisation within the fleet and increases the number of customer order builds as they aren’t being taken up by fleet vehicles
  • New vehicle approval meetings once a month to discuss new vehicle requirements with Sponsorship manages to ensure the vehicles are within budget numbers, if they aren’t additional approval is required
  • Vehicle sponsor to go through the new vehicle approval process which is in the process of being set up
