Job Purpose

You will be responsible for the day to day facilities operations, helping to maintain a welcoming, clean, secure and safe working environment for team members and visitors. This is an active role and you will perform both routine and varied facilities duties. You will work as part of a team responsible for the introduction of agile working methods and ensuring the physical workplace provides the necessary environment to enable this.

Job Role

• Ensure that all client meeting rooms and internal meeting rooms are kept clean and tidy, frequently walking around the floors and monitoring their use

• Meeting room set up and set down

• Deal with ad-hoc maintenance requirements; request specialist support as required

• Be fully conversant with print/post service requirements

• Scanning & distributing post

• Monitor online ordering systems ensuring requests are met within deadline

• Ensure all equipment is fully serviced and maintained

• Proactively ensure that excellent housekeeping standards are maintained

• Liaise with suppliers, service providers and sub-contractors as required

• Liaise with building management as required

• Administration of off-site archiving, retrieval of files and providing first level support for the archiving provider issues

• Changing toners and consumables in copier machines as necessary

• Creating and issuing security cards and car park passes when required

• Office procurement of stationery, including keeping an inventory of stock. Stocking, organising and tidying the stationery areas on both floors and maintaining a tidy post room

• Responsible for the receipt, distribution and dispatch of post and deliveries, making full use of technology

• Ensure office security is maintained

• Carry out the facilities functions for the maintenance of Health & Safety requirements for the building, working closely with the FM to this end, including checking of extinguishers, carrying out of building and premises risk assessments and associated requirements

• Maintain notice boards, information must be up to date and displayed neatly

• Provide a point of contact for onsite IT issues and requests, liaising with the remote IT teams

• Take ownership of asset management ensuring kit levels are maintained as appropriate

• Deliver high quality Audio Visual and Meeting support, ensuring the Mazars meeting room equipment is maintained to high standards and is available to internal staff and external clients

• Providing new joiner IT orientation sessions

Person Specification

• Holds office facilities operations experience

• Excellent organisational & communication skills

• Ability to prioritise tasks effectively

• Ability to work with minimal supervision

• Ability to offer excellent client service

• Common sense and methodical working practice

• Good understanding of standard MS applications

• Ability to work to agreed timescales

• Ability to work under pressure at times and support others during peaks in workload

• Strong team player

• Excellent attention to detail is essential

• Proven administration skills

• Clear, confident communication skills with the ability to communicate effectively with a wide range of people both written and verbal

• Ability to work out of hours on occasion
