This is an exceptional opportunity to join a highly successful global manufacturing company as an Executive Secretary. This position has arisen due to retirement by the present incumbent after 18 years.

Reporting directly to the Managing Director UK who is also the Head of Region North Europe (Netherlands / Denmark / Norway / Sweden / Finland) but working closely with the Executive Assistant, the team of Directors and all staff, this is a very busy and key role within the Company and requires an individual who can build effective working relationships and provide support at a senior level.

OBJECTIVES

  • To provide support as Executive Secretary and Personal Assistant to the Managing Director in all aspects of his job.
  • To provide support to the Executive Assistant and Company Directors and also cover during times of absence and holidays.
  • Work well as part of a team and be a real team player

SKILLS REQUIRED

  • You will have ideally worked within the private sector, have previous experience at board level and have a very high standard of English and presentation of work.
  • Excellent knowledge of Microsoft Office
  • Previous experience in audio dictation
  • Excellent communication skills

MAIN DUTIES AND RESPONSIBILITIES

  • Preparation of correspondence, reports, minutes etc from audio dictation and handwritten notes
  • Preparation of Powerpoint presentations
  • Organise UK and International travel, hotel accommodation, car hire and currency
  • Maintain Managing Director's diary and fielding calls as required
  • Ensure that all monthly deadlines at met on behalf of the Managing Director
  • Manage communications with internal and global colleagues on behalf of the Managing Director
  • Organise meetings for customers and global colleagues including internal meeting rooms, flights, hotels, restaurants, and managing catering requirements
  • Organisation and management of corporate events
  • Create and update organisation charts
  • Translation of documents from foreign languages using internet translation tool
  • Liaise with local hotels to negotiate corporate accommodation rates
  • Manage trade association meetings, correspondence and minutes
  • Manage announcement and publications from the Company's internal website
  • Manage the Company's membership of various sports and social organisations
  • Manage the Company's telephone conference account
  • Approve and process invoices for payment
  • Manage Managing Directors's London congestion charges
  • Reconciliation of company credit card
  • Manage visitors / telephone calls as required
  • Maintain the Company's internal reporting systems, ie incoming / outgoing visitor lists etc
  • Manage incoming and outgoing post
  • Maintain filing system

JOB REQUIREMENTS

  • A Level or equivalent standard of education
  • RSA Stage I, II and 111 typewriting or equivalent
  • Audio dictation
  • Excellent knowledge of Microsoft Office
  • Secretarial experience at senior management level
