Role Profile


Reports to:
Facilities Manager

My Client is the global market leader in baggage handling systems for airports, and sorting systems for parcel and postal services. The Receptionist will be responsible for welcoming visitors by greeting them, in person or on the telephone; answering or referring inquiries. Direct visitors by maintaining employee and department directories; giving instructions. Maintain security by following procedures; monitoring sign in / out system.

Accountabilities and Values

· Answering the telephone and relaying any messages in a timely way
· Ensure that the reception area is kept clean and tidy at all times; visitors’ book open and ready for use first thing and company brochures displayed
· Arrange hotels/taxis in UK for overseas colleagues and visitors including visas where required
Send packages by the most suitable method
To regularly check to ensure that all Meeting/Video CR Rooms are cleared and left tidy after meetings
Check that both kitchen facilities are kept clean
Ordering of stationery and all domestic supplies for this facility, to include the ordering of Tea/Coffee.
Restocking of the Ground Floor and 1st Floor kitchen areas and ensuring supplies of tea/coffee and sugar are available at all times
· Car parking – ensure list of staff car registration nos. are kept up to date
Arranging lunches for meetings
Arranging beverages for meetings in meeting rooms and checking these rooms are cleared after
· Opening, date stamping and distributing incoming post and faxes to office based personnel
· Any other administrative tasks to support the office
· Co-ordination of all building maintenance requirements

· Very good communication and interpersonal skills
· Experience of booking travel
· Confident telephone manner
· Customer service background preferred
· Previous experience of managing a busy reception (desired)
