Retail Inventory Assistant - The Belfry

Responsible to: Financial Controller / Golf Operations Manager

Works closely with: Finance / Accounts / Golf Retail / Golf Operations

We are currently accepting applications for the position of Retail Inventory Assistant for the Belfry Hotel and Golf Resort, Sutton Coldfield, West Midlands.

The Resort has been awarded ‘England’s Leading Resort & England’s Best Golf Hotel’ the past two years and ‘Europe’s Best Golf Resort’ 2016. The Belfry is proud of its rich sporting history and heritage, hosting the Ryder Cup four times in 1985, 1989, 1993 & 2002.

An appreciation for and experience of working in a fast moving hotel environment while also reporting to the Financial Controller is essential.

Scope of the Role:

Responsibilities include assisting with the efficient and effective management of the retail operation by receiving, handling, and helping to manage the inventory of merchandise, custom fit golf clubs and supplies in a timely and organized manner.

This role is responsible for the full stock journey from order to invoice. You will maintain ongoing and proactive communication with the management team, accounts and retail team about new stock arrivals, order overages/shortages, delivery delays and supplier account reconciling.

You will organize the stock room and ensure that accurate labelling, logical placement, neat arrangement, and cleanliness are maintained.

You will on an ad hoc basis carry out any accounting task as assigned by management to meet with business needs including but not limited to cashiering; billing; income audit; purchase ledger; accounts reconciliation

Ensure compliance with health and safety regulations; and overseeing maintenance of equipment and premises.

Key Responsibilities of the Accounts Assistant role:


Strong organization, multi-tasking, versatility, communication, and attention to detail skills will be required. High levels of both efficiency and engagement will be required while performing repetitive tasks. Create new stock lines in the computerised system “Concept” from approved pre-orders.
Create supplier orders for approved pre-orders and top-ups.
Accept and sign for all store deliveries.
Check all stock deliveries against Concept supplier orders and supplier delivery sheets.
Ensure accurate barcoding of products and assist in preparing the stock for the retail floor.
Keep accurate records of stock that have been received from supplier orders and any items that are still outstanding.
Work with Head of Golf Retail & Operations and stock audits on ways to reduce inventory discrepancies and possible theft or “shrink.”
Carry out frequent key line checks on high value stock items, investigate discrepancies, recommend process improvements to management
Reconcile all supplier accounts in conjunction with Belfry accounts team for accuracy and prompt payment. Help to maintain a good working relationships with suppliers.
Place all individual customer orders and deal with any defective items for return, including communicating with all customers.
Assist customers on the sales floor when necessary and retrieves items from the stockroom for customers and sales team.

Demonstrates proficiency in the use of inventory software.
Possesses specific knowledge of company’s range of products and services.
Exhibits ability to interpret and explain inventory and sales reports.
Pays close attention to detail and demonstrates strong organizational skills.


Working hours will be spent in the stockroom and on the sales floor, tracking and organizing inventory.
Standard 40-hour workweek 5 days out of 7 applies with flexibility as per business demands
Shifts vary from day to evening.
