This role will carry out general administrative functions within the team and assist Property Managers with the day-to-day management duties across there portfolio in order to allow the Property Manager to concentrate on extraordinary requests and strategic matters.

Main Duties and Responsibilities:

• Raise work and key orders within authority guidelines with PM
(from Site Visits and forwarded estimates only - not reactive unless an emergency)

• Obtain quotations from contractors

• Prepare paperwork for meetings including AGMs

• Book venue for meetings

• Filing, Archiving and Scanning

• Be aware of and keep to our service level targets

• Produce standard letters only i.e. 'Re-charges', 'items in common parts' etc. on instruction from PM's

• Raise/Settle invoices for payment

• Responsible for logging in and out property keys.

• Deal with insurance claims in line with correct procedure

• Have contact with concierges/caretakers in respect of on site issues

• Liaise with PM's on producing newsletters for properties

• Be prepared to take on individual projects set by PM's you are assisting, such as communal aerial surveys

• Distribute PM Departments daily post

• Action Site Visit reports as directed by the PM

• Action Health and Safety reports as directed by PM

• Attend monthly one to one meetings with the Senior CSA/PMPA to assess the role and all it facets.

• Other admin duties as required from PM's

• As a secondary function, assist with bulk mailing/franking when required on mail merges

  • An ability to prioritise a difficult and conflicting workload
  • Good communication skills, both verbal and written
  • Clear, concise and professional telephone manner
  • Excellent customer service skills
  • Confident user of Microsoft Office packages, including word, outlook and excel
  • Good time management skills
  • An effective team player - willing to help others
  • A positive "can do" attitude


  • Client service experience preferable
  • A willingness to undertake further training
  • Working knowledge of Companion
