Purpose of the Role

To support the business with all aspects of HR Administration within Alstom Employee Services (AES) Providing guidance to employees, managers and Operational HR in the delivery of a seamless efficient and end to end HR process.


·Dealing with employee queries and responding accordingly and taking appropriate action, including providing information, guidance and advice on HR policies and procedures.

·Guides managers and employees through relevant AES processes in order to comply with company policy.

·Ensuring the on-boarding of new starters and ensuring all documents, systems and payroll actions are processed in a timely manner.

·Liaising with third party providers on company benefits and maintaining systems.

·Submission of payroll changes to the outsourced payroll and ensuring correct payments are made to employees.

·Ensuring the end to end payroll process including data submission, and audit file checks.

·Point of contact for all payroll related matters.

·Responsible for the accurate maintenance of both hard copy and electronic employee files, ensuring starter files are created and leaver files are moved ready for archiving

·Support Local/ Operational HR with timely retrieval of employee file documents.

·Replenishment of New Starter Pack forms and Pension Packs

·Monitoring and ensuring reminders/ letters are sent out regarding probationary periods

·Providing reports from ALPS where requested to appropriate contacts

·Responsible for the incoming distribution of post coming into and out of AES; creating JIRA tickets for tracking where appropriate.

·Replenish levels of stationery that is available for the Birmingham HR team by requesting stationery orders on request.

·The AES HR Administrator will liaise with the Centres of Expertise to facilitate a seamless service that supports their Administration needs and ensure they receive the necessary advice, guidance and information.

·Creating and maintaining a Customer Centric service will be core to Alstom Employee Services, ensuring customer excellence, timing tasks and measuring the service delivery against Service Level Agreements.

Educational Requirements

·Successfully completed secondary level education.

·Educated to Level 3 including Maths and English

Technical Competencies, Skills and Knowledge

Possesses strong IT skills with knowledge of MS Office including Excel, Word and PowerPoint

·Experience of working in an HR Shared Service function or a similar commercial, service driven advice and support environment -Desirable

·Experience of HR systems and processes - Desirable

Understands data protection practices and procedures
