A fantastic opportunity is available for a Personal Assistant at a large utility company in Warwick, we are looking for employees to join our expanding team who show commitment and dedication to providing an excellent service to customers as well as being tenacious and methodical at all times.

Job purpose:

To provide a comprehensive support service to the Isabelle Haigh and the BC&O Management Team. To handle confidential reports, administer and co-ordinate meetings with Senior Managers and to manage diaries and inboxes for 1 or more Senior Managers.

Experience Required:

Good awareness of the organisation, business issues and activities are essential
Good experience of Microsoft office applications including MS Word, Excel & Powerpoint
Experience of liaising with senior members of staff, internally and externally
Excellent organisation and administrative skills

Excellent use of MS Project to support the programme planning process
Good use of other MS Office products Word, Excel, Powerpoint, Visio

Ability to produce and review business cases with Delivery Leads knowledge of change management techniques

Key Tasks

Act on own initiative to organise meetings and manage diary to maximise Manager's time and make effective use of travel/transport arrangements

Provide support and assist in providing an efficient and effective service to contribute to the achievement of objectives of the team; providing support and assisting with preparation of communications, presentations and analysis

Co-ordinate and provide effective project management to ad-hoc projects within the team as requested

Maintain the internal Infonet website, updating documents, adding new articles, as and when required

Responsible for Consultant/Contractor budget and invoice management. Ensure invoices are authorised and processed in accordance with procedure. Supply finance with monthly MI at end of each month

Present issues/queries on behalf of the BC&O team and disseminate information and meeting notes to team

Responsible for initial contact with external/internal phone calls and action as appropriate without reference to superiors and co-ordination of management information

Receive incoming mail, identify priority items, acknowledge correspondence, answer routine queries raised and re-route correspondence to appropriate section. Manage with discretion, sensitive information and highly confidential documents including Executive Papers
