We are working on behalf of a large corporate organisation who is a leader in the Building industry. Due to promotion they are now looking to recruit an experienced Sales Secretary to support the Sales & Marketing Director as well as the Sales & Marketing Team.

The Sales Secretary is responsible for a general secretarial and administrative service to the Director and the Sales and Marketing Department including Area Sales Managers and Marketing Manager.

Skills, Knowledge & Experience:

  • Experience within a busy Sales and Marketing environment is desired
  • Computer literacy and secretarial skills will be necessary in order to be able to use the company’s systems, for which training will be given
  • Competence in the use of a range of Microsoft Office packages
  • Multi-tasking skills are essential
  • Excellent attention to detail is required
  • Need to be a self starter and work under own initiative
  • Able to work both independently and as part of a team

Key Responsibilities:

  • You will be responsible for organising your work in the most effective way to meet the demands of the Director and the department.
  • Distributing and dealing with the departmental post.
  • Taking meeting minutes and arranging meetings as required including regional sales meetings, arrange accommodation and assist in pulling together presentations.
  • Ordering uniform, badges and name plates for new Sales Consultants.
  • Updating development list and site lists for distribution to sales & marketing department plus other key stakeholders.
  • Checking and sending NHBC packs to the Company solicitor.
  • Take all telephone calls and deal with queries prior to transferring telephone calls to the Director.
  • Handle all telephone and written correspondence in relation to customer enquiries, reservations and ensure the proper recording and filing of customers/purchasers' information and correspondence.
  • Confirm cancellations of unit sales and arrange for refund of deposits as may be necessary.
  • Update price lists and keep accurate records of each development in respect of individual unit details (including show flat, sales offices, etc), and units sold.
  • Administer customer extras, including receipt of payment, and check and distribute sales orders where applicable. Liaise with outside companies as necessary and resolve any queries with them concerning quotes, orders and accounts.
  • Ensure all completion documentation is received from Sales Offices.
  • Confirm cancellations of unit sales and arrange for refund of deposits as may be necessary.
  • Provide information to assist with the preparation and submission of various Sales & Marketing reports.
  • Assist with all aspects of marketing in preparation for Sales release and launch of all developments.
  • There may have access to information of a highly confidential nature in connection with the departments business and company policies. In this connection considerable discretion is required.
